These terms govern your use of the Square One Therapy Hub website and our allied health services. By booking a service or using this website, you accept these terms.
Services
We provide occupational therapy, speech pathology, physiotherapy and functional capacity assessments. Our clinicians are registered with AHPRA and/or their respective professional bodies and practise within their scope of competency.
Bookings, fees and payment
Session fees are confirmed at the time of booking. Payment is due at the end of each session. We accept private payment, on-the-spot HICAPS private health claiming, Medicare CDM rebates, and invoice NDIS plan managers directly. NDIS self-managed participants pay at the session and submit for reimbursement.
Cancellation policy
We require at least 48 hours' notice to cancel or reschedule an appointment. Cancellations made within 48 hours of the appointment, late cancellations or non-attendance will incur the full session fee, in line with NDIS pricing arrangements. Specific fee tiers will be confirmed in your service agreement.
Caregiver physiotherapy — special rate
If your child attends speech pathology and/or occupational therapy at Square One Therapy Hub, one nominated parent or caregiver is eligible for one-to-one physiotherapy at a special rate of $89 per 45 minutes, charged pro rata for shorter or longer sessions.
- These sessions are the parent or caregiver's own physiotherapy treatment, booked in their own name, and are separate from the child's therapy.
- Session frequency matches the child's speech and/or OT frequency. For example, if the child attends OT weekly and speech weekly, the parent or caregiver is eligible for up to two special-rate sessions per week.
- The special rate applies only while the child is actively attending speech pathology and/or occupational therapy with us. It ends if the child's sessions stop or pause.
- Medicare and private health: the special-rate session is a standard physiotherapy consultation for the attending parent or caregiver. A Medicare rebate can only be claimed if that person holds their own current GP Chronic Disease Management (CDM) plan and referral for their own eligible condition — it cannot be claimed through the child's referral. Private health extras rebates for physiotherapy can be claimed on the spot via HICAPS where the person's policy covers it. You cannot claim a Medicare rebate and a private health rebate for the same session. Any rebate is applied to the $89 rate and you pay the gap.
- One participating parent or caregiver per child. The rate is not transferable and not redeemable for cash.
- Bookings are subject to physiotherapist availability, and to the session being clinically appropriate and safe — the physiotherapist may decline or modify the arrangement on clinical grounds.
- Our standard cancellation policy applies to these sessions.
- The rate current at the time of booking applies. Square One Therapy Hub may change, pause or withdraw this offer at any time, and may decide at its discretion whether to offer it to any individual.
AI scribe and session recording
We use Halaxy AI Scribe to help clinicians produce accurate clinical notes during appointments. The AI scribe is only ever used when:
- an adult aged 18 or over who can lawfully provide consent is present in the session, and
- that person has provided verbal consent to the clinician at the start of the session.
Consent can be withdrawn at any time, in which case the scribe will be turned off for the remainder of the session. Recordings are processed solely to generate the clinical note and are handled in accordance with our Privacy Policy.
Telehealth consent
Where sessions are delivered by video or telephone, you acknowledge that telehealth has limitations compared with in-person care, that internet or call quality may affect a session, and that you are responsible for ensuring a private, safe space at your end. Your clinician will recommend an in-person appointment if telehealth is not clinically appropriate. Telehealth sessions are billed at the same rate as in-clinic sessions unless agreed otherwise.
Consent and clinical care
You may withdraw consent for treatment at any time. We will discuss any significant changes to your therapy plan with you and obtain informed consent before assessments, reports or major interventions. Where a client is under 18, a parent or legal guardian provides consent on the child's behalf.

Governing law
These terms are governed by the laws of New South Wales, Australia. Any dispute arising under or in connection with them is subject to the exclusive jurisdiction of the courts of New South Wales.
